CUSTOMER INFO
Once the booking is completed, when does Unitrips send the final documents to be shared with the client for presentation at the destination?
Normally the “Final Info” email with everything related to the trip is sent about 7 days before the start of the tour. Much of this information will be available in the app once it is downloaded.
What would be the estimated time for the operation of the App where all the info will be available for the clients?
We hope to have it before the Summer 23 trips. In case it is not available all communication will be done as we have done so far by email and WhatsApp.
ACCOMMODATIONS
How are the accommodations along the tour?
If there is something that distinguishes us from other conventional tour operators is the accommodation we choose: we try to have a youthful atmosphere, with multiple rooms (3-8 beds), with common areas and bars in the same accommodation, in a good position within the city to allow our customers to go out at night on foot or by uber. You can review our catalog of accommodations and see the quality of them. They are not luxury accommodations, but they are not old school hostels either.
Are the bathrooms private or shared?
We always choose accommodations with private bathrooms to facilitate the group checkout. Therefore, only the roommates will share the bathroom. Only in extreme cases of complicated destinations it may be possible to have shared bathrooms. Double or single rooms will always have private bathrooms.
How can I know the cost of the supplement in single, double or triple room for the whole tour?
Normally on the web page when you start the reservation process a form is displayed where, when you select the room type option below, the cost of the supplement is shown. Remember that this option requires confirmation of availability from Unitrips, especially for reservations made less than 30 days prior to departure. Once the room type is confirmed, it cannot be changed before or during the tour.
TIP: in our experience, many clients who choose single rooms regret it because they do not experience the night with other people and become isolated. If the client is undecided, we always recommend the multiple.
A single person can NOT buy the double room supplement. If you do so, we will apply the single room supplement.
Also remember that room supplements and optional supplements do not add up to the commissionable base.
I have a group of 4 people who do not want to share a room with others, do they have to pay a supplement?
Normally, by notifying the case in observations, we will make sure that these people will never share with others and will always have a quadruple room for themselves.
Can I always choose with whom to share? Are the rooms divided between men and women?
We are currently organizing rooming on the bus before arrival at the destination. Soon we will have an app where the client will be able to choose the bed in the room. We always try to make sure that everyone is satisfied with the distribution of the beds, but it may happen from time to time that there is a mixed room.
Can I always be in the room with my friends?
Again, we try to be flexible and make sure that everyone is comfortable on the trip with their companions and the division of rooms is done on a daily basis during the trip so that everyone has a choice. But you also have to understand, that not always everyone can be in the best conditions, so we can’t guarantee anything 100% :). These trips are also a very good experience to meet people from all over the world, so we always invite the group members to be fun, sociable and flexible… And at the end of the trip, they will be the travelers who had the best time!
Do you share rooms with people from outside the group?
No, we don’t. All the rooms we reserve are private for the group. The only case of sharing with people outside the group is when you book a night in a multiple room before or after the tour.
Is the group always in the same accommodation?
Almost always. There may be a situation where the group has to be split between accommodations because there are no accommodations that can accommodate the entire group. This can happen in larger groups, such as Christmas groups, or when the accommodation does not have private rooms, so we reserve double rooms in nearby hotels.
If only one person travels and does NOT purchase the single supplement, how does the cabin accommodation apply?
You would have to share a room with the other people and you would not have to pay anything extra.
Is it possible to change the hotel accommodation to pure hotel on a tour?
No, but you can choose a double or single room at extra cost. Keep in mind that in almost every tour there are also hotels and that our selection of accommodation is usually comparable to 3-star hotels.
Is it possible for a person to travel alone and ask for a double room?
No, it is not possible, you would have to ask for a single room because you can not join someone else on the trip.
BUS
Do the buses have WIFI?
The buses do not have iFiWiFi. In the PLUS trips a SIM card with data is provided.
Do the buses have toilets?
No, the tour buses do not usually have toilets because it is not possible to empty them and they would start to smell. They also take up space for luggage.
How many seats do the buses have?
We usually use 60-seater buses.
How much can my luggage weigh?
We recommend that your luggage weighs a maximum of 15/20 kg. Your personal backpack should weigh a maximum of 8 kilos.
COVID-19
In case a tour is cancelled due to the pandemic, what are we offering as an option to the client? Or in these cases what applies?
In case of cancellation we will offer you a full refund or move your deposit for future trips. We have refunded 100% of requested deposits from 2020 onwards.
What happens if during the tour I have symptoms of COVID-19?
Unfortunately from our side we will have to isolate the positive, because obviously we cannot risk infecting the whole group. This is why we strongly advise all clients to travel with medical and cancellation insurance to cover any expenses you may incur in case you test positive before or during the trip.
Do I need to take a COVID-19 test in order to travel?
Unitrips does not require you to take the test, but we depend on the legislation in force in each country. If we are required by law to test travelers before taking them to a country, we will have to do it. All expenses derived from the tests will be paid by the clients. Unitrips will assist in finding quick solutions, but everyone will be responsible for the payment and the success of the test.
What happens if I get sick days before my trip and I have already paid in full?
Unfortunately on our side it is a cancellation of services, therefore you need a cancellation insurance to cover this justified cause.
DURING THE TRIP
What is the meeting point of the trip?
Before the trip you will receive an email with details about the exact meeting point for each trip. If you can’t make it that day, at the appointed time or place, you will always have a phone number available for the tour leader and an email address where you can contact us. This way we can advise you on where to reach us, remember to always give us plenty of notice, as we are a large tour group. Once again, we try to adapt to the requirements of young travelers, although from time to time we find it impossible.
How much money will I need during the trip?
This is very personal… It depends on your habits. You will have free time to go shopping or buy souvenirs… And do whatever you want until the wee hours of the morning: so if you are an erasmus student who usually goes out every night… You may need extra money (in places like: Paris or Amsterdam, drinks can be very expensive). In general we advise to bring between 50 and 80 € per day of travel, but there are people who have made the trip with 25 € per day.
What is the main language of the trip?
Most of our travelers are Spanish speakers, so the main language of the trip is Spanish. Our tour leaders have knowledge of other languages, especially English, so there is also English translation during the tour.
PASSENGER’S AGE
Is it possible for an adult client to travel with a child under 14 years old?
Yes, it is possible, although we always recommend in these cases the PLUS trips, since they usually have a wider age range and less partying. The trips that we tend to offer for a more family oriented environment are the Discover Europe and the Magic Europe.
Is it possible to travel with 2 year olds?
We do not recommend it because of the type of trip. They spend many hours on a bus that does not have a bathroom.
I am 60 years old, can I join a Eurotrip?
You can, but only on the PLUS trips. In addition, it should be noted that the atmosphere is informal and youthful. We advise you to book a single room.
EXTRAS
Are extra activities guaranteed?
No. It depends on the number of participants and the availability of the provider, although they almost always take place.
If I do not participate in an optional activity, what can I do?
Being trips for adults, we usually leave a lot of freedom to our travelers and help them to visit the cities in an alternative way. For example, in Paris there are always many people who want to go to the Louvre Museum, while others go to Eurodisney and others choose to visit the Latin Quarter.
When and how do I book the options?
When the app is in production, everything will be done through the app, in the meantime the extras are purchased in cash from the tour leader during the tour. They cannot be purchased before until the app is up and running.
They do not include, you would have to pay for the transfer in case the tour is original. The Plus trips do include it but only on arrival.
Details about the dinners and New Year’s Eve will be shared during the tour: there the client will know the menu and decide whether to sign up. On New Year’s Eve we only recommend discotheques.
MODIFYING A TOUR
What is the difference between a “parent tour” and a “child tour”?
Internally, we usually call a complete tour a “parent tour”, which is usually circular (departure and arrival point is the same and is usually Madrid). Child tours” are all tours that are portions of the same parent tour, for example the first week of the tour, the second week or the first two weeks.
What does “Hop-on Hop-off Tour” mean?
All our eurotrips are customizable, for example: a person can join the tour on the fourth day of the tour and leave the tour 3 days before the end of the tour. Of course every modification to the tour means a change in the price. If you need to know an approximation of a tour with a modified itinerary you can follow the following rule: for each night you add to a child tour add 60 € if the tour is “Original” category, 80 € if the tour is “Plus” category. If, on the contrary, you want to subtract a few nights, subtract 40 € per night in accommodation not used. This rule is not fixed, but it is a good approximation that you can use to give a price quickly to your client.
Is it possible to subtract a few nights from a tour to make it shorter? Are you entitled to a discount or a price reduction?
Yes, you could. We usually deduct 40 € per night in accommodation not enjoyed, although depending on the number of nights not enjoyed this amount may vary. Also remember that discounts only apply to full tours, therefore any discount would not be applicable in case of a reduced tour.
What is the difference between an extra night and adding a night to a tour?
When we talk about an extra night we are referring to booking accommodation before the tour leader’s services officially start. When we add nights and days to a child tour by extending it, we are adding all the services included in the tour, so extending a tour is more expensive than booking an extra night.
What cancellation conditions apply?
We normally apply the following cancellation conditions, CANCELLATION CONDITIONS: – With 60 days or less the cancellation fee is the deposit paid // – Between 30 and 59 days the cancellation fee is 50% of the total trip // – Less than 30 days the cancellation fee is 100% of the total trip.
EXTRA NIGHTS
Is it possible to book an extra night before the tour starts?
Of course it is possible. It is quite common due to flight combinations and costs. Many people find it convenient to arrive earlier at the destination. The important thing is that it is indicated at the time of booking or at the latest 30 days before the start of the tour.
If the client buys the extra nights on his own, what accommodations do you recommend in the different cities?
Madrid, NH Atocha or Mediodía, because it is right in front of the bus departure. In Rome, it is usually the Meininger, also because it is very close to Termini, In Prague it is usually the AO Rhea, In Paris, the Meininger Porte de Vincennes or the Jo&Joe Gentilly (Périphérique area).
PEOPLE WITH DIFFERENT DISABILITIES
Can these tours be suitable for people with disabilities?
It is not recommended since the buses can be a bit uncomfortable for them. We also have to take into account that there is a lot of walking on our tours. We have had experiences with people in wheelchairs but they had incredible support from two people who took care of everything and helped them to get on the bus, etc.

Do I need a passport or a visa?
It depends on your nationality and the destinations you are traveling to. Better check here: visas.org
How do I book a tour for a client?
When a travel agent books a tour for a client, you will have to enter the travel agent’s details to receive the booking in your mailbox. In the second part you will have to mark that you are an agent (not an end customer) and insert the customer’s details. For us it is essential to have the customer’s contact details before departure, in order to manage emergencies! Once booked you will receive an email from the system with the gross amount of the reservation and the order number. For future communications about the reservation, you will always have to put the order number in the subject of the email!
What is the difference between Original and Plus?
Our tours in Europe are divided into two categories: Original and Plus.
The Original tours represent our essence, tours for real travelers that cover everything you need to enjoy your travel experience 100%, but without luxuries. They are budget tours more dedicated to students living in Europe.
The Plus tours offer a more personalized service and more dedicated to travelers arriving from distant countries and require more assistance. They offer the option to enjoy airport pick-up upon arrival in Europe at a low-cost price, a SIM card with coverage valid for all of Europe, a Welcome Kit for all travelers, a pack of extras included and public transportation in the cities (one way and one return trip per day).
What is included in the Welcome Kit?
The kit is usually modified according to fashion, it can contain a small bag, a T-shirt, a pin, stickers or anything that may be useful for a traveler.
What is included in the price of the trip?
We always say very clearly what is included in each trip, in fact we dedicate a very well marked section on the trip page (tab: what is included). In general, we usually include transportation by private bus to the destinations mentioned in the travel program, the hostel/hotel (rooms shared with the travel group), breakfasts and above all the assistance of our super mega fantastic guides. If there are extras, they will be specified within each trip. We prefer to offer a service within the reach of many young people and offer the extras to those who want them.
All my friends are going to travel with you but there is no more availability? What can I do?
Hope is the last thing to lose! We travel with groups of 60 people maximum and we receive reservations constantly every day, even on weekends. When we run out of places, we open a waiting list. We can’t guarantee that you will have a spot, but anything is possible. So if you are one of the first on the waiting list, you might be lucky. Anyway… Give it a try, it won’t cost you anything!
Can I go on the trip alone?
Of course you can… The truth is that travelers who travel alone, in the end make many new friends. Throughout the tour a big traveling family is formed 🙂
How can we find out about Unitrips active promotions?
Normally the promos we do on our instagram we announce them to all our partners so that they can benefit as well.
If I have booked a trip with a promo or a discount, can I change the dates or the names of the passengers?
Of course you can, but you lose the discount and the promo. Normally discounts and promotions are not transferable.
Can only one person go on the trip?
Of course you can. Travelers who travel alone are the ones who have the most friends.
Can a minor travel?
Yes they can, we just need an authorization from the guardian.
TRANSFERS
What is needed to book a transfer?
It is essential that you provide all the information necessary for us to process the transfer: Client name, cell phone number, Arrival or departure flight, Arrival or departure airport with specified terminal, Estimated time of arrival. We will provide a voucher with the transfer and a phone number to call in case you do not meet the transfer. There will be no Unitrips staff meeting you at the airport, it is a subcontracted service that takes you from the airport to the accommodation or from the accommodation to the airport.
If I want to add arrival and departure transfers to each tour, how much would they cost?
Arrival transfers are included in PLUS Category tours. On ORIGINAL Category tours they can be purchased at the time of booking. Transfers can be added or modified only up to 7 days before the tour. The cost of the individual transfer is 50 €, in case of multiple reservations is 40 €. Standard price per city to the airport or station in the same city.
What happens if I don’t meet the driver at the airport?
With the voucher we provide you usually have 2 phone numbers. We always advise you to call upon landing to confirm availability, because the driver may be at another point of the airport, may take longer, or may have already left (usually wait 60 minutes after landing). In case of not meeting the driver, we will advise you to take a cab to get to the destination and then we will claim the amount due (Important: When doing this, it will be necessary to prove that the calls were made to the numbers shown on the voucher).
